In
some earlier articles we have described how to create a
simple solution for phone message automation. It works for
a small company or few users, but it is not scalable. You
have to create everything from scratch for each site where
you implement this phone message application.

always better to created a solution that can be used in
the whole organization.
Site columns can be created from the Site Settings >Web
Designer Galleries, but that settings group is not available
in the default team site.

The best option is to create a content type with site columns
in the Content Type Hub site collection. That way the content
type and site columns can be used and searched by the whole
SharePoint tenancy.
